Technopeak IT Solutions is looking for a highly organized Office Administrator / IT Coordinator to manage the scheduling and coordination of field engineers delivering IT support services to our clients across the UAE.

In this role, you will ensure that onsite visits are efficiently planned, engineers are properly prepared for their tasks, and client visits are confirmed and executed smoothly. You will act as a central coordination point between clients, engineers, and the technical leadership team.

Responsibilities

Coordination of Onsite IT Support

  • Assign engineers to service requests and incidents based on skills, availability, and task urgency.
  • Ensure engineers have all required information, tools, and instructions before client visits.
  • Confirm visit schedules with customers and maintain the onsite visits calendar.

Schedule and Resource Management

  • Plan and optimize daily onsite visits across Dubai and the UAE.
  • Coordinate engineers’ schedules and block time in Microsoft Teams calendars.
  • Ensure visits are arranged efficiently by location, travel time and means of transportation and engineer expertise.

Incident and Emergency Handling

  • Monitor urgent service requests and coordinate rapid response when required.
  • Evaluate whether incidents can be resolved remotely or require onsite support.
  • Coordinate with technical engineers and account managers for emergency incidents and overtime approvals when needed.

Delivery and Equipment Management

  • Coordinate deliveries of IT equipment for customers.
  • Verify delivered items against purchase orders and invoices.
  • Label, store, and track equipment in the company warehouse.
  • Arrange delivery to customer locations using internal or external delivery resources.

Office Administration:

  • Manage daily office operations and ensure the smooth functioning of administrative processes.
  • Coordinate office supplies, vendors, and service providers (cleaning, maintenance, courier services).
  • Maintain office documentation, contracts, and administrative records.
  • Support onboarding logistics for new employees, including workspace preparation and access coordination.
  • Handle incoming communications, calls, visitors, and general administrative requests from employees.

Requirements

  • Strong organizational and coordination skills.
  • Ability to manage multiple tasks and schedules simultaneously.
  • Good communication skills when working with clients and technical teams.
  • Experience in IT support operations, service coordination, or dispatching roles is an advantage.
  • Ability to work in a fast-paced service environment.
  • Proactive understanding of partner/customer's needs and delivery of satisfactory services/solutions.
  • Driving license will be an advantage.
  • Fluent English language spoken and written is mandatory. Filipino language is an advantage.
  • Should be in UAE.
